A beautiful view is only the beginning
A mountain venue may look perfect in photos, but parking, electricity, water, access roads and rain backup can create problems on the event day. Check operations during the site visit, not just the view.
Road and access
- Is the final 1โ2 km road suitable for the vehicles guests will use?
- Can tempo travellers and catering vehicles reach the venue?
- Is night-time arrival safe and practical?
- How many cars can park on site?
- Is there a safe drop-off point for elderly guests?
Guest stay
- How many rooms are actually included in the booking?
- Are extra mattresses, hot water and heating available?
- What are check-in and check-out times?
- Can elderly guests get ground-floor or easy-access rooms?
- What is the nearest alternative accommodation?
Event infrastructure
- Is generator or power backup included?
- Is there a covered or indoor rain alternative?
- Are there sound restrictions or a music cut-off time?
- How much setup time is available for decorators?
- Are stage, chairs, tables and basic lighting included?
- Is reliable water available for guests and catering?
Food and vendor rules
- Are outside caterers allowed?
- When can the catering team access the kitchen?
- Who provides LPG, water, crockery and cleaning?
- Are there extra fees for outside decorators or photographers?
Payment and written terms
- What advance payment is required?
- What are the cancellation and date-change terms?
- Are overtime charges listed?
- Is a damage deposit required?
- Are taxes and all package inclusions written in the quotation?
Final site-visit test
Evaluate the venue for the month and time your event will take place. If possible, test the route in a family vehicle. Confirm every inclusion in writing before paying a booking advance.
